Everything was fine until I reached the register and politely asked the team member to fill my cup of chili to the top—it was noticeably underfilled. At that point, the manager abruptly stopped the associate and instructed him not to fill it further, citing “store policy.”
I then asked for a cup of water. The manager handed me a cup fit for an infant. When I requested a medium-sized cup instead, she refused again, stating it was against company policy.
Let’s put this into perspective. I was spending over $18 on a sandwich and a cup of chili, yet the manager chose to draw a – hard line over:
– a half ladle of chili, and
– a disposable cup that costs, on average, two cents for a national chain like Potbelly.
Seriously?
Rather than applying common sense or prioritizing customer satisfaction, the manager was more focused on rigid rule enforcement. As a result, they lost a customer who spends approximately $150 per month over what amounts to maybe ten cents in product cost.
Needless to say, I walked out and have no intention of returning. I’m not sure who is training these young, inexperienced managers, but this is a textbook example of how not to retain customers.

Anyways, they are very accommodating & willing to make any issue that happened, be fixed right away.
I waited in the office, to the side, for 18 minutes, for an order made online. I watched multiple people walk in after me, order in shop, receive their sandwich and pay, despite me having ordered my sandwich prior to any of them.
Finally, I stood in line to be helped. As I walked up for my turn, and my sandwich was now finally ready and being handed to me. By now 20 minutes had gone by and I voiced my displeasure to the associate. She turned to a male associate by the oven and he stated that refunds get handled after the fact and nothing could be done in the moment. Confused by that, I clarified and asked that they confirm I’d be getting my refund. The male associate, seemingly bothered that i brought a concern about waiting 20 minutes for an online order, reluctantly confirmed and stated I would get a refund. As I replied that I heard his confirmation, he flippantly stated. “Now you have a nice day.”
I understand this can be claimed as a standard greeting in a customer service scenario, but I’ve been customer facing for over 20 years in my role and I can assure you, the male associate was being instigatory, hoping I would react to his rude behavior. I didn’t react though, but wanted to share my experience to warn other loyal potbelly goers. Do not eat here, they don’t value our business at this location.
